Many of our leagues, tournaments, and events are held at outdoor facilities, which means we must always be prepared to adapt based on weather and playing conditions. The safety of our players, coaches, and spectators is our highest priority. This policy provides clear guidelines on how weather-related decisions are made and what families, teams, and officials can expect.
1. WEATHER-RELATED CANCELLATIONS
Games, practices, or events may be canceled, delayed, or postponed due to unsafe weather conditions, including but not limited to:
Lightning or thunder within a 10-mile radius
Heavy rainfall causing unsafe surfaces or pooling
Snow or icy conditions on the playing surface
Extreme heat or poor air quality
High winds that create safety concerns or interfere with play
All weather-related decisions are made with input from on-site staff, weather monitoring systems, and local guidelines for youth sports safety.
2. TIMING OF CANCELLATION NOTICES
Weather decisions will be made as early as possible, ideally no later than one hour prior to game time.
In rapidly changing conditions, decisions may be made on-site at game time for the safety of all participants.
Coaches, team reps, and registered participants will be notified via:
Email alerts
Text messaging system (if opted in)
Official league website or social media updates
If no cancellation has been announced, teams should report to the field as scheduled.
3. LIGHTNING & THUNDER POLICY
In the event of lightning or thunder:
All activities will be suspended immediately.
Participants and spectators must seek shelter in vehicles or designated safe structures.
Activities will not resume until 30 minutes have passed since the last observed lightning strike or thunderclap.
If conditions do not improve within a reasonable window, games will be canceled or rescheduled.
4. MAKE-UP GAMES & RESCHEDULING
We make every effort to reschedule canceled games, with the following considerations:
Make-up games will be scheduled based on facility availability, team conflicts, and season length.
Rescheduled games may be played on non-standard days or times, including weekends or evenings.
We cannot guarantee that all canceled games will be made up, especially during seasons with multiple weather disruptions.
If teams are unable to attend a rescheduled game, it may be recorded as a forfeit.
5. REFUND POLICY FOR WEATHER CANCELLATIONS
As noted in our general refund policy:
Refunds will not be issued for games or events canceled due to weather or unsafe playing conditions.
This includes partial or full cancellations caused by acts of nature, unforeseen facility closures, or emergencies outside of our control.
Our goal is always to deliver a complete and valuable experience, but weather variables are part of operating outdoor sports programs.
